Human Resource Information Systems Request for Access Guidelines

The following describes the Human Resource Information Systems Banner check boxes found on the OSU Systems Request for Access form.

Banner Roles for Works in Dept/Unit:

Verify Employee Status Only = query access to the Banner form PYIVERI

Job duties require knowledge of employee job status. Requestor is often in a central administrative office (e.g. ID Center, Business Affairs, Ecampus, Grad School).  Access is unrelated to HR functions delegated to business centers.  Not intended for wide campus distribution. Required training: Banner Basics, HRIS Banner part 1, FERPA tutorial.

Advanced HR Inquiry = query access to the Banner forms PYIVERI, PYICHEK, NYIJOBS

Allows user to answer payroll and check delivery questions.  Used sparingly.  Not intended for wide campus distribution.  Required training: Banner Basics, HRIS Banner parts 1 and 2, FERPA tutorial.

Grant/Budg Monitoring/Prep = query access to the Banner forms PYIVERI, NYIDIST

Intended for major unit or research institute with grant/budget activity where monitoring is done outside the Business Center finance area, or in partnership with the Business Center.  May also be used in the Research Office or OPAA.  Not intended for wide campus distribution.  Required training: Banner Basics, HRIS Banner part 1, FERPA tutorial.

HR Support to Senior Admin = query access to Banner forms NBAPOSN, NBIPINC, NYIJOBS, PHIJOBS, PHRLRAR, PYICHEK, PYILIST, PYIVERI, RYACWSR and AppWorx Leave Reports

Requestor must report directly to Staff Chair, Department Head, Director or higher level administrator.  Not intended for wide campus distribution.  Required training: Banner Basics, HRIS Banner part 1, FERPA tutorial.

HR Team Operations, Central OHR, and Central Payroll Staff

Requestor must work in Human Resources or Central Payroll. Required training: Banner Basics, HRIS Banner parts 1 and 2, HRIS Data Warehouse, FERPA tutorial

Delegated HR Bus Ctr Duties

The BEBC and AMBC have delegates in major units performing HR work on behalf of the Business Center.  This access requires approval from the Business Center HR Manager.  Required training: Banner Basics, HRIS Banner parts 1 and 2, FERPA tutorial.

Banner Roles for Works in Business Center:

Human Resources

The requestor must work in a Business Center Human Resources role.  Required training: Banner Basics, HRIS Banner parts 1 and 2, HRIS Data Warehouse, FERPA tutorial.

Finance/Accounting

The requestor must work in a Business Center Finance/Accounting role.  Required training: Banner Basics, HRIS Banner parts 1 and 2, HRIS Data Warehouse, FERPA tutorial.

Timekeeper = access to Banner form PYAHOUR, EmpCenter, and AppWorx Leave Reports for Supervisors and Timekeepers

This is an “add on” to the Business Center Finance/Accounting role.  On an exception basis, some Business Centers have timekeepers outside their Business Center.  This outside exception must be approved by both the Business Center HR Manager and the Business Center Finance/Accounting Manager.  Additional required training:  HRIS Time Entry.

Labor Redistribution = access to Banner form PHRLRAR and OSCAR ePAF Accounting tasks

This is an “add on” to the Business Center Finance/Accounting role and requires approval from the Central Payroll Manager.  Additional required training: must schedule training with Central Payroll.

Payroll Duties/Payroll Supervisor = access to Banner forms NBAJOBS and PDADBSU, plus additional query access to multiple Banner forms, access to Nolij HR_Payroll role and OSCAR ePAF Payroll tasks

This is an “add on” to the Business Center Finance/Accounting role, and is never granted outside the Business Center.  Requires approval from the Central Payroll Manager.  Required training:  Interactive NBAJOBS Training is available online at Training by Payroll:  http://fa.oregonstate.edu/business-affairs/training-department#payrolltraining.

Mgr w/Dean Approval Authority

Dean or designee required to approve EPAF HR transactions.
