FAQ’s for Student Employment Roles in the OSU Jobs Online Recruiting System
(Student Employment Initiators, Approvers and Financial Aid Reviewers)

Q: Where can I find the link to login to the Online Recruiting System to post my student position?

A: The link to the departmental/internal user login page is: https://jobs.oregonstate.edu/hr

Q: I am having trouble logging into the Online Recruiting System, who can I email for help?

A: If you are having trouble logging in,make sure you are using your ONID login information.  If you continue to experience trouble logging in, email employment@oregonstate.edu or phone (541) 737-0549 for assistance.

Q: I already know who I want to hire, do I have to post my student position in the OSU Jobs Online Recruiting System?

A: Yes – all student positions are required be posted to the OSU Jobs Online Recruiting System.  Public posting of student job vacancies ensures broader access to a wider range of potential applicants and is in line with the University’s policy on nondiscrimination and equal opportunity. 

Q: I don’t want to create a posting; may I ask my Business Center HR team to create a posting for me?

A: You may always ask your Business Center HR team for help and support.In some cases, your Business Center may ask you to complete a posting template and they will input the posting on your behalf in the OSU Jobs Online Recruiting System.  If your Business Center requires that postings be input by the department, please use the Student Employment Initiator Guide under Tools for Supervisors at http://hr.oregonstate.edu/student-employment

Q: How long does a student position need to be posted via the OSU Jobs Online Recruiting System?

A: Student positions need to be posted for a minimum of one (1) day (effective 08/15/17).

Q: Although my student position will be posted via the OSU Jobs Online Recruiting System, I don’t want applicants to apply through the system. Can I use the system to post the job and then do the recruiting (receiving of applications) through my department?

A: No, effective 08/15/17, all student positions must be posted and accept applications via the Online Recruiting System.  This will simplify the student experience by using the same profile to apply to all student positions, allows students to better track their application history, and provides them with real-world experience.  This will also assist the universtity in tracking, reporting, and records retention.

Q: I created a posting for a student position and it has not posted to the OSU Jobs Online Recruiting System - why is that?

A: The posting may still be under review by the Student Employment Approver and/or the Financial Aid Reviewer (if the position is designated as work study).   If it has been more than 24 hours, please contact your Business Center HR team.

Q: I need clarification with creating a posting, who should I contact?

A: If you need technical assistance, contact employment@oregonstate.edu or phone (541) 737-0549.  If you have questions about the position or process, contact your Business Center HR team.

Q: I have been granted Student Employment Initiator access, what does that mean?

A: The Student Employment Initiator may create student postings in the OSU Jobs Online Recruiting System. Once created, you will submit the posting to your business center Student Employment Approver for review and approval.

Q: I have been granted Student Employment Approver access, what does that mean?

A: The Student Employment Approver may create postings, review/approve postings, and can also submit work study positions to the Financial Aid Reviewer in the OSU Jobs Online Recruiting System for their review.

Q: I have been granted Financial Aid Reviewer access, what does that mean?

A: The Financial Aid Reviewer may review postings that are designated as work study as submitted to you by the Student Employment Approver in the OSU Jobs Online Recruiting System.  Once your review is completed (addition of appropriate work study code(s) and comments), submit the posting back to the Student Employment Approver for final review and posting.

Q: I want to post a student job, but only want it to be available for work study students. Is there a way to note this in the posting?

A: Yes. When creating the posting, check the “Competitive / Work Study - open to qualified / eligible work students” option under “Indicate how you intend to recruit for this search”.   

Q: I want to post a student job, and want it to be open to ALL qualified applicants including those eligible for work study. Is there a way to note this in the posting?

A: Yes. When creating the posting, check the “Competitive / Student - open to ALL qualified/eligible students” option under “Indicate how you intend to recruit for this search”.  Also place a note in the comments section of the posting that the position is to be considered for work study; the Student Employment Approver will then submit it to the Financial Aid Reviewer before posting.  If you will be giving preference to work study students, please include “Preference will be given to students approved for work-study” in the Special Instructions to Applicants section.
