General Description of Class

The Project Coordinator coordinates the planning and administration of a group of related discrete projects
at different stages of completion on an ongoing basis in support of an agency objective or mission.

This is a single classification and not currently part of a series of classes.


Duties and Responsibilities

Positions in this class may perform some or all of the following Duties and Responsibilities and may perform
other associated duties.


  1. Reviews project assignment to determine scope and diversity of involvement, training and resources needed,
    necessary contacts and required procedural administrative actions, reviews existing methods and procedures, and
    modifies as necessary to accomplish assignment; identifies potential difficulties and determines means of lessening
    or avoiding them.
  2. Contacts appropriate participants such as various internal units, other State agencies, other public
    jurisdictions, private businesses and organizations, special interest groups, local communities, and the public;
    seeks cooperation and input in project assignment, coordinates needed meetings or hearings to gather input, and
    meet procedural requirements.
  3. Identifies resources and administrative steps needed for project completion; develops project plan in
    consultation with appropriate participants; initiates project and coordinates steps to ensure participation of
    appropriate interested individuals and groups.
  4. Represents agency in meetings, administrative hearings, etc. in dealing with affected and interested
    individuals and groups concerning the project; moderates divergent viewpoints and helps build consensus among those
    involved appropriate to the project assignment, processes, and procedures.
  5. Monitors project status to ensure progress toward completion, required procedural steps are completed
    fully and timely, interested groups and individuals are informed of progress, and project output is appropriate;
    modifies project plan and coordinates changes with participants as necessary in response to unforeseen changes
    or unexpected developments; upon project completion, closes files and reviews records to ensure documentation is
    appropriate and complete.

Relationships with Others


Daily in-person and/or telephone contact with current and potential project participants to exchange information.
Regular contact with workers from other agencies (Federal, State, and local) and with all levels of internal staff
to insure coordination and with the public, special interest groups, local communities, and private businesses
to explain governing regulations and/or agency policies. Some contact with project participants to mediate divergent
viewpoints and obtain compliance with project requirements.



Supervision Received

Works under general supervision of a supervisor or manager. Uses agency and program related statutes, regulations,
and other guidelines and interpretations. Consults with supervisor as necessary to obtain clarification of expected
results, reports on progress toward completion of assignments, confirms interpretation of regulations and policies,
or seek guidance in complicated or less clearly defined areas.


General Information


Positions are found in central and remote locations throughout State government (e.g., general government agencies,
human or natural resource agencies, correctional, mental health or higher education institutions, etc.). They require
the willingness to work within the environment associated with the position's location. They require the willingness
to travel in state including some overnight trips.

Minimum Qualifications

  • Four years of experience as an executive assistant, administrative analyst, researcher or administrative officer
    which included administrative duties, provision of technical assistance, or operations review. Two of the required
    years must have included administration or oversight of an on-going project or program.

A Bachelor's degree in Business Administration, Management, Public Administration or a closely-related field
may be substituted for up to two years of the required experience. There is no substitution for the two years
of administrative experience.

Preference may be given to individuals with experience in a specialty area specific to the position opening.
