Background Check Program Updates

Overview

The project to update the background check program includes:

  • Development and implementation of this website.
  • Implementation of a Sexual Misconduct Reference Check for final candidates for high-level administrative leadership positions, which will apply to recruitments managed by OSU and those managed by executive search agencies/search firms.
  • National sex offender registry check for all new OSU employees and volunteers, all current employees that accept a different job at OSU, all current employees and volunteers whose evolution of duties or service warrants an updated background check, and for non-employee statuses such as courtesy, postdoctoral fellows, and graduate fellows. 
  • Request for proposals from background check vendors and review of current vendor, to ensure OSU receives the highest quality services for the most cost-efficient price.
  • Implementation of an interim modified background check policy.

Note

As has always been the case at OSU, background check findings are NOT an automatic bar to employment or volunteer service. OSU uses an individualized assessment process to consider the background check findings in relation to the job/volunteer opportunity being sought in order to determine if an individual is eligible for service in a specific capacity.

The background check program is primarily intended as a process to assess risk to the OSU community and OSU's stakeholders. It is not intended to, nor is based in, excluding individuals from participating as a part of the OSU community.

OSU is committed to employing qualified individuals from a wide range of backgrounds that can contribute to the university's success in delivering its mission. As such, OSU encourages and welcomes applications from all qualified candidates.

OSU positions designated as critical or security-sensitive may require a pre-employment check (e.g background check, motor vehicle history check, sexual misconduct reference check, etc.). Satisfactory results from pre-employment check(s) are considered a minimum qualification for these positions.

OSU conducts pre-employment checks AFTER being identified as a finalist and results of the check will not be considered until the finalist accepts a contingent offer of employment. A previous conviction or documented misconduct will not automatically prevent an individual from being employed by OSU. Final candidates for this position must complete a background check, per University Policy 05-010. An offer of employment will be contingent upon satisfactory results from the background check.

POSITIONS Requiring a Motor Vehicle History Check

Final candidates for this position must complete a motor vehicle history check, per University Policy 05-030. An offer of employment will be contingent upon satisfactory results from the motor vehicle history check.

POSITIONS Requiring a SEXUAL Misconduct Reference Check

Final candidates for this position must complete a sexual misconduct reference check, per University Policy 05-010. An offer of employment will be contingent upon satisfactory results from the sexual misconduct reference check.

POSITIONS Requiring a Background Check

This offer requires satisfactory results from a background check, per University Policy 05-010. You cannot begin working until your background check and all other employment requirements are complete. Once you become an OSU employee, you must self-report convictions. 

If the background check process takes longer than expected, your start date will change to a date after it is complete. If the university determines you are ineligible for this position, based on the information in your background check, the university may withdraw this offer of employment.

If you are assigned youth program duties, either upon hire or post-hire, you must complete an updated background check every two (2) years for as long as the youth program duties are assigned. Information about youth program duties is available at youth.oregonstate.edu.

POSITIONS Requiring a Motor Vehicle History Check

This offer requires satisfactory results from a motor vehicle history check (MVHC), per University Policy 05-030. You cannot begin working until the MVHC and all other employment requirements are complete. Once you become an OSU employee, you must self-report motor vehicle violations. 

If the MVHC process takes longer than expected, your start date will change to a date after it's complete. If the university determines you are ineligible for this position, based on the information in your MVHC, the university may withdraw this offer of employment.

This offer requires satisfactory results from a sexual misconduct reference check (SMRC), per University Policy 05-010. You cannot begin working until the SMRC and all other employment requirements are complete.

If the SMRC process takes longer than expected, your start date will change to a date after it's complete. If the university determines you are ineligible for this position, based on the information in your SMRC, the university may withdraw this offer of employment.
