Q: Where can I search for on-campus student jobs?

A: You can search for on campus student jobs by visiting https://jobs.oregonstate.edu and selecting the orange quicklink called “Student Employee”

Q: How do I apply to an on-campus student position?

A: When you see a student position you are interested in, carefully read through the posting including the “Special Instructions to Applicants” section for instructions on how to apply and contact information. Select the link at the top or bottom of the page that says “Apply for this Posting”.

Q: I submitted my resume to a job posting in Student Jobs @ OSU.  I now realize that I left out a part in my resume. What do I do?

A: Since you have already submitted the resume, you will be unable to make changes to that resume. You will need to email the contact person listed in the “Special Instructions to Applicants” section of the posting to see if they will accept an email copy of your resume.  If the position is still posted, you may email [email protected] and request that your application be reactivated so you may make the change directly.

Q: What is Work-Study and how does it work?

A. Information about Work-Study can be reviewed on the Work-Study page provided by the Office of Financial Aid

Q: I do not qualify for Federal Work Study; are there still jobs I can apply for?

A: Yes, there are a number of different jobs on-campus and include both Non-Federal Work-Study and Federal Work-Study opportunities.  The job posting will indicate if the job is open to ALL eligible students or only open to students qualifying for the Federal Work-Study program.

Q: If I get a job during the academic year, how many hours can I work?  

A: To determine the total hours for a student employee per week, combine the total work hours scheduled for each on-campus job held by the student employee. 

Undergraduate and post-baccalaureate student 
Enrolled in 6 credit hours or more 

Maximum of 24 hours per week 

Undergraduate international student 
Enrolled in 12 credit hours or more 

Maximum of 20 hours per week 

Graduate student  
Enrolled in 5 credit hours or more

Q:  I didn’t get a student job during the summer; will there be on-campus student jobs for the Fall, Winter, or Spring?

A: Yes, student jobs are added to Student Jobs @ OSU daily. Visit https://jobs.oregonstate.edu and select the orange quicklink “Student Employee” to see what opportunities may be available.

Q: How many hours can I work over summer term?

A: To determine the total hours for a student employee per week, combine the total work hours scheduled for each on-campus job held by the student employee.

Undergraduate and post-baccalaureate student

Enrolled in 6 credit hours or more: Maximum of 24 hours per week. 

Enrolled in 5 credits or less: Maximum of 40 hours per week. * 

Undergraduate international student

Enrolled in 12 credit hours or more: Maximum of 20 hours per week. 

Enrolled in 11 credit hours or less with reduced course load approval: Maximum of 40 hours per week. 

Graduate student 

Enrolled in 5 credit hours or more: Maximum of 24 hours per week. 

Enrolled in 5 credits or less: Maximum of 40 hours per week. * 

Graduate international student  

Enrolled in 9 credit hours or more: Maximum of 20 hours per week.  

Enrolled in 8 credit hours or less with reduced course load approval: Maximum of 40 hours per week.

*If taking less than 6 credits during a term, you may be subjected to additional taxes, fees, and withholdings. May be considered a student's term off and cannot be during first term of employment. 

Q: I am graduating in the spring; can I still work in the student position?

A: Graduating students will be given up to one pay period to continue in their current student employment position. Example: Graduated Spring term, able to work in their student position until July 15th. However, international graduating students must complete their on-campus employment on the final day of the term in which they graduate or on the final day of their graduate assistantship in their final term of their degree.  For questions, please check with the Office of International Services for Post-Graduation Options and meet with an OIS advisor if you have specific questions. Example: Graduated Spring term, able to work in their student position until June 11th.

Q: I’ve been offered a student employment position, when can I start working?

A: You can only start working (including trainings and orientation), once you’ve received approval from University Human Resources. The Student Employment Center will send you instructions with steps and requirements that will need to be completed. Once all the required steps are completed, you and your supervisor will be sent a “Cleared to Work” email. Only after you’ve received this email are you able to begin working.

Q. What does the hiring process look like?

1. The hiring supervisor will offer you the position and contact Student Employment to begin the hiring process.

2. You may receive an email from Student Employment to confirm your eligibility for Student Employment. You must reply and confirm your eligibility to begin the hiring process.

3. If eligible for Student Employment you will receive another email from Student Employment detailing the steps needed to complete your hire. Depending on the position, or if you have previously been employed at OSU the required steps may vary. These steps may include:

  • Completing the New Hire Paperwork sent via DocuSign​​​​
  • Complete Section 1 of the Form I-9 via DocuSign and bring in your identity documents for verification.  In order for this step to be completed you must bring your original acceptable documents, we cannot accept copies or pictures, to the Student Employment Center located in University Plaza, 1600 SW Western Blvd, suite 150.  
    • Common Acceptable I-9 Documents (For a complete list of acceptable I-9 documents, please see the Form I-9 List of Acceptable Documents)
      •  Foreign Passport AND Form I-94 AND Form I-20 (List A) 
      • Valid and signed US Passport (List A)
      • Photo ID (List B) AND Social Security Card or Birth Certificate (List C) 
  • Complete the Criminal History Check Disclosure Form sent to you via DocuSign.
  • Complete your Social Security Verification Form (SSVF)
    • The form must be completed by you and your supervisor in DocuSign, it will then be routed to the Office of International Services.
    • Follow the steps on the second page to obtain a US social security number. Please send questions about this process to [email protected]  

After all these steps are completed you and your supervisor will receive a "Cleared to Work" email from Student Employment. You may not begin working before receiving this email. 

A Criminal History Check Result email from the OSU Employee Service Portal is not a cleared to work email.

Q. How does my timesheet work, and how do I record my hours?

Q. When is payday? 

For students on Graduate Assistantships, payday is the last working day of each month. 

Q. How will I recieve my paycheck?

Paychecks are currently being mailed out to your current address on file. Your first check will always be mailed. If you would like to sign up for Direct Deposit, you can do so from your MyOregonstate Portal (It can take up to a week for Direct Deposit to take effect, so depending on when you sign up, it may not be active until the following month’s payroll). 

Q. Who do I contact with questions about my Graduate Assistant Health Insurance?

Q. When will my tuition remission be applied and the charges removed from my student account?

  • Tuition remission is usually applied within a week of your Grad Assistant position becoming active in the system.
  • If you are unsure about the status of your position, you can contact [email protected]
  • For specific tuition remission questions you can contact student accounts at [email protected]

Q. How do I apply for the SEVIS and VIsa Reimbursment? (International Students)

Complete the CGE SEVIS and Visa Reimbursement Request Form and email it along with the required documents to [email protected].

Q. How and when can I complete my FERPA training?

Q. I am an international student and I need to apply for a Social Security Card, how do I do that?

There is a Social Security Verification form that will need to be completed by you, your department, and OIS. Currently the form is initiated and routed via DocuSign. Please reach out to your department or [email protected] to initiate the process.
