Sabbatical Leave Procedures

Application Procedure

It is recommended that sabbatical applications be submitted for review and signatures no later than one month prior to the beginning of the sabbatical.

  1. Go to beav.es/sabbatical-application, which will initiate the application in DocuSign.

  2. Enter the signers' names and their OSU email addresses. This will facilitate routing the application for review and approval.

  3. Attach a summary of sabbatical activities stating the purpose of the leave in detail. Goal and outputs should be outlined, and candidates should explain how the experience will contribute to their professional growth and future opportunities.

  4. Attach current curriculum vitae.

  5. Submit.

Upon approval of the application, all signers will receive an email with a link to download the completed document, and a finalized copy will be filed in the employee’s personnel file in University Human Resources (UHR).

University Human Resources coordinates and completes the necessary transactions in the HR/payroll systems.

Sabbatical Leave Final Report

Within one month of the sabbatical end date, it is the responsibility of the academic faculty member to submit a detailed report of the accomplishments and benefits resulting from the leave. The report should be submitted to: 

Sabbatical Leave Amendments

Amendments to completed Application and Contract for Sabbatical Leave forms must be initialed by all signatories. Procedure to amend the contract are as follows:

  1. Email the Academic HR Officer ([email protected]) with a request to change the application, and copy the unit head and dean. The email should include what change(s) to the application are needed (e.g. dates).

  2. The Academic HR Officer will amend the application and route in DocuSign for initials by all signatories.

All signatories will receive an email with a link to download the completed document, and a finalized copy will be filed in the employee’s personnel file in University Human Resources (UHR).

Sabbatical Leave Cancelations

Cancelation of a sabbatical leave should be made by email to the unit head with copies to the dean, the Office of Faculty Affairs ([email protected]), and the Academic HR Officer ([email protected]). 

Following receipt of the cancelation request, the Academic HR Officer will attach the request to the application and void it.

Sabbatical Leave Supplementation

For sabbaticals supplemented through OSU, please reach out to HR Support Services at [email protected] with the following information about one month prior to the sabbatical leave begin date.
  • Employee name
  • OSU ID
  • Supplementation FTE
  • Supplementation index(es)
  • Supplementation start date and end date, if different than the sabbatical dates
For sabbaticals supplemented through employment by an external entity, such engagement should be included in the sabbatical application and an approved Request for Approval of Professional Outside Activities form must be on file with University Human Resources by the time the sabbatical begins.
